Keep your small business money organized in one spreadsheet. Log income and expenses as they happen, and this template builds your monthly and yearly profit and loss, a quarterly tax savings plan, and a dashboard with charts. No formulas to write.

Made for freelancers, makers, online shop owners, side hustlers, consultants and sole proprietors who want simple, clear books.

What It Does

  • Income Log and Expense Log with category and payment-method dropdowns (500 rows each)
  • Automatic Profit & Loss by category, by month and for the year, with % of income
  • Quarterly Tax Set-Aside tracker: enter the % you want to save, see a suggested amount per quarter, and record what you actually set aside (On track / Short status)
  • Mileage Log: enter odometer start and end; miles and dollar amount at your chosen rate fill in automatically
  • Dashboard: total income, expenses, net profit, margin, tax set-aside and miles, plus 3 charts (income vs expenses, net profit trend, top expense categories)
  • Missing-receipt counter and data checks that flag uncategorized entries
  • Editable category lists on one Setup tab

What’s Included

  • 1 .xlsx file with 8 tabs: Start Here, Dashboard, Setup, Income Log, Expense Log, Mileage Log, Profit & Loss, Quarterly Taxes
  • Plain-English instructions on the Start Here tab
  • 12 rows of sample data on each log so you can see how it works (clearly labeled, easy to clear)

How To Use It

Excel: open the .xlsx in Excel 2016 or newer, Microsoft 365, or Excel for Mac. No macros, nothing to enable.

Google Sheets: in Google Drive click New > File upload, choose the file, open it, then File > Save as Google Sheets. Formulas, dropdowns and charts carry over; chart styling may look slightly different.

Then: fill in the yellow cells on Setup, clear the sample rows, and start logging. Yellow cells are inputs, gray cells calculate automatically.

Please Note

This spreadsheet is an organizing tool. It does not calculate taxes owed and is not tax, legal or accounting advice. The mileage rate is a placeholder; enter the current rate published by your tax authority. Please confirm deductions and how much to set aside with a qualified tax professional.
