
Every month, asset managers have to answer the same questions: is the property on budget, why not, and where will the year land? This template answers them for any income-producing property (office, retail, logistics, residential or mixed-use) in a clean monthly budget vs actual format that is ready for an asset review, an investment committee or a fund report.
What the model does
You enter a monthly budget and monthly actuals for each income and cost line: rental income, service charge recoveries, other income, recoverable service charge costs, property tax, insurance, maintenance, property management fees, letting costs and bad debt. You choose how many months are closed and your variance thresholds. The model then produces:
- Month view: budget, actual and variance for the last closed month.
- Year-to-date view: budget, actual, variance and variance %.
- Full-year view: budget, forecast (actual to date plus remaining budget) and forecast variance.
- Flags: every variance above both an amount and a % threshold is flagged as favourable or unfavourable, with a comment column to explain it.

- NOI to date against budget, in amount and %
- Full-year NOI budget, forecast and variance
- NOI yield on the property value, budget and forecast
- Service charge recovery rate (recoveries / recoverable costs), which shows the cost of vacancy
- Operating costs per sqm and the number of lines to explain
- A monthly chart of budget vs actual NOI

How to use it
The workbook has eight tabs: Instructions, Dashboard, Inputs, Budget, Actuals, Variance, Monthly NOI and Checks. Enter the property details and thresholds on Inputs, the budget on Budget, the actuals on Actuals, and change the number of months closed each month. The Variance tab is ready to paste into a monthly asset management report.
