Airbnb / Short-Term Rental Property Management Financial Model – 5-Year Forecast
🏡 Build a property-management business around the economics that actually drive short-term rentals. This premium Excel model is designed for professional short-term-rental property managers, Airbnb co-hosting agencies, vacation-rental managers and multi-market operators that manage third-party owner properties. It is not a simple property-acquisition calculator. The workbook models the operating company itself: how owners are acquired, properties are onboarded, nights are sold, channel costs flow through, owners are paid, cleaning capacity is staffed, properties churn, overhead scales, cash is generated and the business is valued.
🎯 The buyer problem this model solves
A growing STR manager has to make several decisions at the same time. More properties create more revenue opportunity, but they also create owner-acquisition cost, onboarding work, guest support demand, cleaning turnovers, software cost, compliance cost and owner-settlement obligations. Occupancy and ADR affect guest booking value, while channel mix affects platform fees. Contract structure determines how much of that booking economics becomes management-company revenue. Property churn can erase acquisition gains, and cleaning or support capacity can become a bottleneck before the financial statements show the problem.
This workbook connects those decisions in one formula-driven 60-month system with five annual summaries, integrated financial statements and valuation outputs.

⚙️ How the model works
The operating flow begins with owner acquisition. Monthly owner leads convert into proposals, signed management agreements and an onboarding pipeline. Properties move from onboarding into the live portfolio, while churn and suspensions reduce the active base. The demand engine then calculates available nights, occupancy, ADR, occupied nights, bookings and accommodation gross booking value. Channel-mix formulas allocate activity across Airbnb, Vrbo/other, Booking-style and direct channels and apply editable fee assumptions.
Management revenue is then calculated from the portfolio’s contract mix: standard percentage contracts, hybrid percentage-plus-fixed contracts and fixed monthly contracts. Onboarding/setup fees and ancillary revenue are also modeled. The owner-settlement schedule bridges guest charges to owner remittance while distinguishing owner-borne and manager-borne channel fees and retained cleaning revenue.
Cleaning is modeled operationally, not as a single percentage of revenue. Occupied nights and average length of stay determine turnover demand. Internal cleaner productivity, working days, starting FTE, target utilization and monthly hiring limits determine internal capacity, with outsourced turnovers absorbing overflow. Separate operations staffing schedules calculate guest-support, owner-success and operations-management requirements as the managed portfolio scales.
✏️ Centralized editable inputs
The assumptions sheet centralizes the business inputs that buyers are expected to change. These include opening active properties and onboarding pipeline, owner leads and lead growth, proposal and close rates, onboarding completion, acquisition CAC, churn, suspensions, onboarding lag, stabilized occupancy, ADR and ADR growth, average length of stay, occupancy cap, direct-booking adoption, channel shares and platform/payment fees, contract mix and management fees, fixed and onboarding fees, cleaning pricing and retention, cleaner productivity and cost, outsourced turnover cost, support productivity, staffing costs, software cost, office/admin, professional and compliance expenses, working-capital days, capex, debt, interest, minimum cash, tax, distributions, WACC, terminal growth and exit EBITDA multiple. Monthly occupancy and ADR seasonality are also editable.
