Track every booking, every expense and the real profit of each vacation rental, in one spreadsheet. Built for hosts and co-hosts managing 1 to 5 short-term rental properties across any booking site or direct bookings.

What It Does

  • Bookings log: check-in, check-out, property, booking site, status, booking revenue, cleaning fee and platform/host fees. Nights, payout and average nightly rate calculate automatically (500 rows)
  • Occupancy % by month, overall and per property. Stays that cross a month end are split correctly between months; cancelled stays are excluded
  • ADR (average daily rate) by month and per property
  • Expenses log with 20 editable categories (cleaning, supplies, repairs, utilities, HOA, insurance and more). Choose “All Properties” to split a shared cost evenly
  • Property P&L: revenue, fees, expenses and net profit for up to 5 properties side by side, plus a combined total
  • Dashboard: payout, expenses, net profit, occupancy, ADR and nights booked, plus 4 charts (payout vs expenses by month, occupancy trend, profit by property, payout by booking site)
  • Data checks that flag bookings or expenses missing a property

What’s Included

  • 1 .xlsx file with 7 tabs: Start Here, Dashboard, Setup, Bookings, Expenses, Occupancy & ADR, Property P&L
  • Plain-English instructions on the Start Here tab
  • 12 sample bookings and 12 sample expenses so you can see it working (clearly labeled, easy to clear)

How To Use It

Excel: open the .xlsx in Excel 2016 or newer, Microsoft 365, or Excel for Mac. No macros.

Google Sheets: in Google Drive click New > File upload, choose the file, open it, then File > Save as Google Sheets. Formulas, dropdowns and charts carry over; chart styling may look slightly different.

Then: enter your property names and booking sites on Setup, clear the sample rows, and log each stay from your payout statement. Yellow cells are inputs, gray cells calculate automatically.
